Summary:
The Administrative Analyst provides high-impact administrative support to C-suite executives while helping manage day-to-day office operations and leading key marketing and branding activities. This role is ideal for a proactive, highly organized professional who can balance executive-level coordination, office management, and hands-on marketing execution—including social media and brand-aligned communications.
Essential Duties and Responsibilities:
Executive & C-Suite Administrative Support
- Provide direct administrative support to assigned C-suite executive(s), including calendar management, scheduling, meeting coordination, and travel arrangements.
- Prepare agendas, briefing materials, presentations, and correspondence; capture meeting notes and track follow-ups/action items.
- Coordinate internal and external communications on behalf of executives with professionalism and discretion.
- Support leadership meetings, board/customer visits, and special events—including logistics, materials, and onsite coordination.
- Maintain confidentiality and exercise sound judgment when handling sensitive business information.
Office Management & Administrative Operations
- Serve as a primary point of contact for office needs and administrative processes (supplies, vendors, office equipment, conference rooms, workplace readiness).
- Coordinate facility-related requests and troubleshoot day-to-day issues to ensure a professional, well-functioning office environment.
- Support onboarding logistics for visitors and new hires (badging coordination, workspace readiness, welcome materials), as applicable.
- Help streamline administrative workflows—developing trackers, SOPs, templates, and simple reporting to improve efficiency.
- Maintain organized digital and physical filing systems and ensure document control practices are followed.
Marketing, Branding & Social Media
- Support Fairlead’s marketing and branding execution in alignment with leadership priorities and brand standards.
- Manage social media posting cadence (e.g., LinkedIn) including drafting content, coordinating approvals, scheduling posts, and tracking engagement.
- Collect and develop content for marketing channels: employee spotlights, project milestones, community involvement, recruiting campaigns, and event coverage.
- Coordinate basic creative deliverables (flyers, graphics, simple videos) using internal tools and/or external vendors.
- Maintain and organize brand assets (logos, templates, photo library, messaging) and ensure consistent usage across materials.
- Assist with internal communications as needed (announcements, newsletters, leadership updates) to reinforce culture and brand.
Qualifications & Minimum Requirements:
- Bachelor’s degree preferred
- Demonstrated experience supporting marketing/communications efforts, including social media management (professional/business accounts preferred).
- Strong proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint); comfort learning new tools quickly.
- Excellent written and verbal communication skills with strong attention to detail.
- Proven ability to manage multiple priorities, meet deadlines, and stay organized with minimal supervision.
- High level of professionalism, discretion, and integrity.
Preferred Qualifications
- Familiarity with brand standards, basic graphic design tools (e.g Canva / Adobe Express), and social media platforms
- Experience with internal communications, event planning, or employer branding / marketing
- Strong analytical mindset with the ability to create trackers, dashboards, and process documentation

Work Environment:
This position is performed in a traditional office environment with local travel required between facilities.
